A minute after it arrives, dot takes a look: who is this about, what has already happened and what needs to happen now. It lines that up where your reply box would be. Sending is up to you.

Finding the record

dot knows who it's about, even from an unknown address.

dot finds the record through the sender, a stipt ID, an invoice or quote number, an email address or phone number in the text, or a postcode and house number. Once the customer is certain, it links the conversation to the right record, even if that customer has several.

Everything behind it

It reads what you'd otherwise piece together.

Fields and status, appointments, booking links, forms with the verdict of the form check, quotes, invoices with their payment status, open tasks and files. Then dot sums up what's going on and notes in grey what has already been done.

One click on Do it and open draft creates the task and puts dot's draft in your reply box, with the recipient above it. You read it, change what you like and send it. Discard puts back what was there.

Urgency flags

Red, yellow or grey, on email and WhatsApp.

Every morning dot gives open conversations an urgency from 0 to 99: how serious the matter is, plus the waiting time. While the customer waits on you, the score keeps rising. From 25 the flag turns yellow, from 50 red. The reason is in the conversation.

  • Promises, appointments, quotes and the customer's tone all count
  • A flag set by a colleague always stays put
  • Reply or mark it handled, and dot's flag goes away

With the inbox helper you choose how far dot goes. In training mode, which is on by default, you first say whether it got it right. Then you let it prepare tasks, or also handle what's done.

Lessons, lined up every day

A correction with a reason becomes a lesson. Once a day dot rolls the lessons up into rules without duplicates; a new lesson counts straight away.

Every lesson can be switched off

If a lesson no longer holds, switch it off on the tool page and dot stops using it.

Thirty days at a glance

The tool page shows what dot did over the last 30 days and how often the team agreed with it.

Already picked up? No double work

If the question was picked up after the email, with a completed task, a booked appointment or a reply, dot says so and suggests handling it instead of a new task.

Duplicate emails count once

If the same question comes in twice, for example as a copy through a payment platform, only one conversation gets the task and the draft. dot suggests handling the other.

A reply to the customer directly

If the email came from a no‑reply address, a call centre or a partner, dot writes the draft to the customer, using the address from the record, with the reason above it.

The task goes to the right colleague

dot looks at how you assigned tasks from emails over the last 60 days. If such tasks always go to the same person, it picks them. One click changes it.

Does dot send replies to customers itself?

No. dot puts a draft in your reply box, and a colleague reads it and sends it. No email ever goes to a customer on its own, not even in the Handle on its own mode.

Does the inbox helper work on WhatsApp too?

The inbox helper, with its summary, task suggestion and draft, reads along with email. Urgency flags work on every channel you choose, WhatsApp included. To help customers on WhatsApp directly, there's the WhatsApp assistant.

How does dot know which record an email belongs to?

Through the sender, a stipt ID, an invoice or quote number, an email address or phone number in the text, or a postcode and house number. Once the customer is certain, dot links the conversation itself. If it only finds the customer by name, it suggests the link.

Can I first just watch what dot does?

Yes. Training mode is on by default: dot then works as Read along and carries nothing out itself. Whoever handles or answers a conversation first says whether dot got it right. Switch training off once you mostly agree with it.

What does the inbox helper cost?

dot runs on credits from your company's pool. Email without any trace of a record first goes through a cheap check, so newsletters and notifications cost little. For urgency flags you see roughly what the first morning costs; after that, a morning is usually a small part of that.

Who switches it on?

An admin, in Studio under What dot does, Tools. The inbox helper and the urgency flags are two separate tools, and both are off by default.
