CRM with a WhatsApp Business integration: what works and what to check

A CRM with WhatsApp integration connects your WhatsApp Business number to your customer system through Meta's official API. Messages arrive in a shared inbox, attach to the customer record and can be answered by multiple users on one number. When choosing, check the 24-hour rule, template approval, Meta's per-message fees and GDPR.

What does a WhatsApp integration in a CRM actually mean?

A CRM with WhatsApp integration makes WhatsApp messages arrive in your customer system instead of on a phone. Messages appear as conversations in a shared inbox, attach to the customer record and can be read and answered by any colleague. The connection runs through Meta's official WhatsApp Business API, not through a handset in the office.

As long as WhatsApp lives on one device, customer contact is tied to a person: the colleague holding the phone is the bottleneck and the history sits on that handset. With a proper CRM WhatsApp integration, WhatsApp becomes a channel like email, with an owner, a status and a fixed place in the record.

Search for the best CRM with WhatsApp and you mostly find English listicles. The underlying question is more practical: how do you get messages with site survey photos and scheduling questions into the customer record, without depending on someone's private phone.

WhatsApp Business app or the Business API: what is the difference?

WhatsApp Business comes in two forms, and they are easily confused.

The WhatsApp Business app is the free app for small businesses. You get a business profile, quick replies, labels and away messages, but it remains an app on one phone with a handful of linked devices. For a one-person business that is fine. Want WhatsApp Business with multiple users on one number, assigned messages or conversations in a customer record, and you hit its limits.

The WhatsApp Business API, nowadays the WhatsApp Business Platform, is the business-grade access for software. The API has no screen of its own: you always use it through a system built on top of it, such as a CRM. That removes the device limit: the whole team works on one number, messages live in the system and you can use templates and automations. In return, Meta sets rules and charges fees for template messages.

An existing number does not have to move: Meta now supports keeping a number on the Business app while it is also connected through the API. Not every provider supports this, so ask.

Meta's message fees apply on every API route and vary by country and template category.

From incoming message to customer record, how one message moves through a connected CRM.

  1. 1
    Customer sends a WhatsApp

The message arrives in the CRM through the API, not on a phone. Photos and documents come along.

  2. 2
    Recognition

The system looks up the number in the contacts. Known number: the conversation attaches to the customer. Unknown: a new contact is created.

  3. 3
    In the shared inbox

The conversation sits in the same list as email. Assigning, an internal note, a flag: everything that works for email works here.

  4. 4
    Reply

Within 24 hours of the customer's last message you reply freely, from the shared number. The customer does not see who is typing.

  5. 5
    On the record

The conversation sits on the customer record's timeline, next to quotes, appointments and earlier emails.

  6. 6
    After 24 hours

Once the window closes, an approved template reopens the conversation, an appointment reminder for example.

How do templates and Meta's 24-hour rule work?

The 24-hour rule is WhatsApp's most important rule for businesses. After the customer's last message you have 24 hours to reply freely; every new customer message reopens that window. Once it closes, the API only lets you send a template: a message Meta has approved in advance. That is how Meta keeps spam out.

Templates fall into categories that set the rate. Service messages such as confirmations and appointment reminders are the cheapest, marketing is the most expensive. Replying freely within the 24-hour window costs nothing at Meta; template messages are charged per message. Rates differ per country and change regularly, so check them with Meta.

In practice this means you want to build templates, submit them to Meta and follow the approval status without a separate tool, and send them automatically at the moments that matter, such as an appointment confirmation or a reminder after a quote goes out. stipt, for example, has its own template builder with automations for this; other systems handle it through their connector partner.

What does WhatsApp in your CRM mean for GDPR and opt-in?

Two sets of rules apply at the same time: Meta's and the GDPR's.

Meta requires opt-in: you may only start a conversation yourself with customers who agreed to it beforehand, for instance through a form. For marketing messages the same rules apply as for email marketing: prior consent and a way to unsubscribe.

For the GDPR, what matters most is where the conversations live. Messages with customers contain personal data, so you want a data processing agreement with your CRM provider, hosting within the EU and the ability to fully erase a customer's data. Also ask how the route to Meta is arranged; the provider should cover it in the processing agreement.

The biggest risk, meanwhile, is the informal alternative: customer contact through employees' private WhatsApp. Those conversations live outside the company, cannot be found by anyone else and leave with the employee. An integration through the business API solves that: every conversation lives in the system.

What to check when choosing a CRM with WhatsApp

  • Official connection through the WhatsApp Business API; unofficial workarounds risk getting your number blocked
  • WhatsApp as a first-class channel next to email, with messages automatically on the customer record
  • Multiple users on one number, with assignment, internal notes and a shared inbox
  • Building templates, submitting them to Meta and tracking approval from inside the system
  • Sending templates automatically on events such as an appointment or a status change
  • Clarity about Meta's message fees on top of the subscription

Frequently asked questions

Can WhatsApp Business be used with multiple users on one number?

Yes, through the WhatsApp Business API. The free Business app is tied to one phone with a handful of linked devices; the API has no such limit. A CRM built on the API lets the whole team read and reply from the same number, with assignment and a shared inbox.

Can I connect my existing WhatsApp Business number to a CRM?

Yes. You go through Meta's secure signup to connect the number to the system. Meta now supports keeping the number active on the Business app at the same time, so both keep working. Not every provider supports this, so check first.

What does a CRM with WhatsApp integration cost?

You pay two things: the CRM or connector subscription, and Meta's message fees for template messages. Replying freely within the 24-hour window costs nothing at Meta. Template rates differ per category and country; marketing is the most expensive. Actual amounts are on Meta's pricing page.

What is WhatsApp's 24-hour rule?

After a customer's last message you have 24 hours to reply freely; every new customer message reopens the window. Once it closes, the Business API only allows sending a Meta-approved template to reopen the conversation.

Am I allowed to message customers on WhatsApp out of the blue?

No. Meta requires opt-in before you start a conversation yourself, and for marketing messages the same rules apply as for email marketing: consent and a way to unsubscribe. Answering a question the customer asks is always allowed.
