Track equipment: where is it, and when is it free?

With the Assets module in stipt you track unique objects that can only be in one place at a time, such as furniture sets, trailers, machines or scaffolding. Where an asset is always follows from the history of deliveries and pickups, so you never keep it up to date by hand. On a project's record you pick assets for a period, and stipt shows what is available, what frees up later and what is occupied.

What is the Assets module in stipt?

The Assets module tracks unique physical objects that can only be in one place at a time. Think of furniture sets for a home staging company, machines, trailers or scaffolding. Every asset has a name, a type, a photo, a value and a list of what belongs to it.

The principle: you never maintain an asset's location by hand. It always follows from the history of deliveries and pickups. That keeps the overview correct by definition.

An asset is always one whole, for example “Living room set 3” or “Trailer 2”. You manage the types yourself, such as living room, bedroom or trailer, in the asset form.

How do I turn on Assets, and who can use it?

Assets is off by default. An admin installs the module from the Module center in Settings. After that, Assets appears as its own icon in the left rail for Users and Admins.

To link assets to projects, add the Assets block to a record type in the CRM builder. The module's status hooks are configured under Settings > Assets.

Assets is not an add‑on and has no price of its own: it is part of the regular price per member.

How do I keep track of where my furniture sets or machines are?

Every delivery or pickup is a movement: a row in the asset's history, with a date and notes for the movers. The newest row determines where the asset is now. Rows with a future date are planned.

An asset without a project destination is in storage. Removing an asset from a project therefore always means planning a pickup back to storage.

Click an asset to open its own page: a large photo, the details, the full location history with the time spent at each place, and comments from colleagues, for example about condition or damage. The history is never overwritten; only planned movements can be cancelled.

How do I see which equipment is free on a given date?

The Assets tab shows everything as cards, with photo, type, value, contents and where each asset is now or is planned to go. You search by name or contents and filter by type and availability.

Top right is the date check. It defaults to today, and every card shows its availability within the chosen window: available, frees up on a date, or occupied. Occupied cards show the date the asset frees up, when that is known.

Pick a different from and to date to look ahead, for example to a project that starts in three weeks. The filter buttons per status narrow the list to what is free. The cross resets the check to today.

How do I assign equipment to a project?

On the project's record, first set the period in the Assets block: the start and end date during which the project needs the assets. Then add assets with Add assets.

The picker splits everything into three groups based on that period. Available: in storage now, or somewhere that is free within your window. Available later: occupied at the start of your window, with the date it frees up and the address where it has to be picked up. Occupied: another project's period overlaps your whole window, so these assets cannot be selected.

After choosing, confirm a delivery date, which defaults to the start of the period, and optional notes. If a chosen asset is still at another project, it is picked up there automatically: the new movement becomes its location from that date.

How do I plan deliveries and pickups?

The Pickups tab lists every movement per day, browsable per month. Within a day the movements are grouped by pickup location: storage first, then by address. That is the natural route order for the movers. You edit notes per movement here, and you can cancel planned ones.

With Plan pickup you tick assets that are out at projects, grouped by address. You pick a date and notes, and the trip back to storage is planned.

To take a single asset off a project, use the storage button on its row in the Assets block. That plans a pickup back to storage, by default on the end date of the period.

What if a project runs longer or finishes early?

Adjust the end date in the Assets block. Availability for other projects takes it into account immediately, so anyone who wants to plan the same asset sees the new date right away.

Everything you do with assets shows up automatically on the record's timeline: assets assigned or removed, planned deliveries and pickups, cancellations and period changes (set, extended or shortened). Each time with the name of who did it. For a transfer, the movement also appears on the timeline of the project the asset came from.

Can a record change status automatically because of assets?

Yes, with status hooks. You configure them under Settings > Assets, per record type that has the Assets block. A hook moves the record to a chosen status in its status flow automatically: on the first assignment of assets, or around the start or end date of the period.

For the date hooks you pick the moment: on the day itself, or a number of days before or after. For example, a week before the end date to a status called “Plan pickup”. Date hooks fire through an automatic check that runs every hour, at most once per date. If the date shifts, the hook re‑arms itself for the new moment.

The status change follows the normal status path. Connected automations and emails therefore run as usual.

Frequently asked questions

Can I change an asset's location by hand?

No, and that is deliberate. The location always follows from the movements. If you want an asset somewhere else, plan a delivery or pickup.

Can I cancel a planned movement?

Yes, you cancel planned movements on the Pickups tab. Movements that already happened stay: the history is never overwritten.

Does the Assets module cost extra?

No. Assets is not an add‑on and has no price of its own. An admin turns the module on in the Module center.

What happens if I pick an asset that is still at another project?

It is picked up there automatically. The new delivery is its location from that date; no separate pickup is needed.

Can I record damage or the condition of an asset?

Yes. Colleagues add comments on an asset's page, for example about its condition or damage.

Who sees the Assets module?

Once installed, Assets is in the left rail for Users and Admins. Installing it and setting up the status hooks is done by an admin.
