The survey, on site on a phone.
The customer picks a time for the survey, and if you like the installation as well, in one go. On site the surveyor fills in the survey form on their phone: insulation, heating, supply and photos. Once submitted it is saved as a PDF on the record.

A quote from your own catalogue.
Click products and bundles into the quote, with quantities, VAT and a discount if you like. Add a personal message and send it from the record. The customer gets a polished email with the link and the PDF.

Approval
The customer approves on their phone.
The customer opens the quote on their phone, with your logo, their adviser and exactly what is included. They tick the approval box, type their name and confirm. The record moves to the next status by itself.

Scheduling
The right engineer, on the right day.
In the calendar every engineer or crew has a lane of their own, with the travel time between appointments. The map shows everyone's stops in order. Pick up a job and whoever lacks the skill or does not cover the area fades out.

Thomas's installation is picked up. Ruben and Daan do heat pumps in Amersfoort. Sven lacks that skill and Noah works outside the area, so they fade out. Ruben's whole day is still free.
Job sheet
The job sheet lives on the engineer's phone.
In the portal the engineer sees their appointments and starts the job sheet: materials, photos, scanned serial numbers and the customer's signature. Once it is submitted the PDF lands on the record, and if you switch it on, dot checks it straight away.

The heat pump team fills in the work order at Thomas's: outdoor unit on the back wall, pressure 1.6 bar, three photos and his signature. The PDF lands in the record right away.
Handover
The handover form moves the record on.
Link a record status to every form status. When the office approves the handover form, the reviewer picks Handed over or Snag, and whatever you attach to that status happens by itself: the aftercare email, a task or a WhatsApp.

Submitted puts the record on To review, accepted on Handed over or Snag. Once it reaches Handed over, the Heat pump aftercare email goes out by itself.
Invoice
Invoicing from the record.
With the Accounting module the lines on the record go to Exact Online, in one go or in instalments. You send the invoice from your accounting package, and the payment status comes back to the record by itself.

Survey and installation in one link.The customer books, you don't have to call.
With smart planning the customer picks from the best moments for the survey, worked out live on availability, travel time, skills and service area. Put the installation behind it and they pick that too, on the same screen. Both land in the calendar and the record moves on.
As many days in between as you want
You set the minimum number of days between survey and installation. The customer only sees installation days after that.
The surveyor or their teammate
Choose whether the installation preferably or always goes to the surveyor. If Daan and Ruben work together, it may go to Ruben too.
Always room for the installation
stipt only offers survey days after which the installation really fits. If it fits nowhere, the link does not go out and the planners get the record.
Skills count ahead
If it must always be the same engineer and the installation needs a skill the survey does not, the survey only goes to someone who may also do the installation.

Do we keep our own email address and WhatsApp number?
Yes. Email connects through Microsoft 365, Gmail or IMAP. WhatsApp Business runs on your own number through the official Meta integration.
Do engineers need to install an app?
No. The portal works in the browser and goes on the phone's home screen. Engineers see their own appointments there and fill in the job sheet.
Does stipt connect to our accounting package?
Exact Online is available: invoices go from the record into your accounts and the payment status comes back. Using a different package? Ask about it in the demo.
Can subcontractors work with us?
Yes. They work in the portal and only see their own jobs. You can pass work on to a partner and follow along, and with self‑billing you draw up their invoice on their behalf; they approve it.
Does it handle heat pumps, solar panels and boiler servicing at once?
Yes. You create a record type per kind of work, with its own fields, statuses and forms. If a customer has solar panels and a home battery that need scheduling together, you schedule it as one appointment while each record keeps its own status.
Does the AI decide on its own?
No. dot suggests and you confirm. Emails never leave without you, and anything that runs on its own is something you switch on yourself.
